AI assistant

An assistant that knows your queues and asks before it acts

It answers how-to questions, looks up live figures and prepares changes that you confirm.

What it does

Help inside the console, for admins and staff

Answers how-to questions

From the manageQ guides, naming the screen by its menu path, with a button that opens it.

Looks up live figures

Queues, tokens and reports, only within the permissions and locations of the person asking.

Draws simple charts

Each chart has a Table button with the same numbers, and opens Reports with the same filters.

Prepares changes you confirm

Locations, counters, services and their forms, users, kiosks, displays and holidays, as a form you check first.

How a change is made

Nothing changes until you press the button

Illustration with demo data.

  1. You ask, for example “Add Counter 4 at Central Branch”
  2. A form shows the details; for an edit, also what it is now and what it will be
  3. You press the form’s button, such as Create counter. Typing “yes” changes nothing
  4. It runs with your own permissions, and the audit log marks it “via assistant”

Changes that cannot be undone are shown in red and ask for a tick first.

Guardrails

The same rules as every other screen

Guardrails are part of how the assistant works, not an add-on.

  • Changes nothing by itself

A proposed change runs only after the person confirms it, through the same permission checks and audit as the screen.

  • Personal data replaced

Names, mobile numbers, e-mails and ID numbers are replaced with placeholders before any model call.

  • Checked answers, with sources

Answers are checked against the guides and the tool results, and show where each sentence came from.

  • No internet browsing

It knows the manageQ guides and screens, and the data the user’s role may see. Nothing else.

  • Instructions in data are withheld

Text in your data that reads like an instruction to the assistant is withheld from the model.

  • A table for every chart

Every chart has a table view with the same numbers, for screen readers and for checking.

Modes per organisation

You decide how much assistant you want

  • Off

No assistant for the organisation. Admins can switch it back on at any time.

  • Built-in

    The default

Rule-based and part of manageQ, with no model cost. Every organisation starts here.

  • Azure AI model

    Optional

An optional Azure AI model, switched on by the platform administrator, with daily and monthly limits.

  • Built-in answers are in English
  • Admins can let the assistant explain and report only, with no change forms
  • Only people whose role includes the assistant permission see it
  • A change form is valid for 15 minutes and makes its change once
