[PH: counsel to review this notice (English and Hindi) before launch]
1. Who is responsible
This website, www.manageq.in, and its contact form are run by [PH: legal company name], [PH: registered address] ("we", "us"). We decide why and how the details you send are used, so we are the Data Fiduciary for them under India's Digital Personal Data Protection Act, 2023 (the "DPDP Act").
For anything about your personal data, contact our grievance officer, [PH: grievance officer name], at [PH: grievance e-mail]. For anything else, write to sales@manageq.in.
2. What this notice covers
This notice covers this website and the details you send through its contact form. It does not cover the manageQ application when an organisation uses it to run its own queues: that organisation decides how its visitors' details are used, and its own privacy notice applies.
3. What we collect
Only what you type into the contact form:
- Always: your full name, work e-mail address, organisation and country.
- If you choose to give them: your mobile number, city and state, industry, number of locations, the features you are interested in, your preferred deployment, the kind of request, how you would like us to reach you, and your message (up to 1,000 characters).
- With every request: the time you gave your consent, the version of the consent text and of this notice you agreed to, the page you came from and the button that brought you to the form, and a reference code we create (for example R-7K3QXM).
We do not store your network (IP) address with your request. To stop the form being flooded, we keep a code made from your network address with a secret key (a keyed hash, not the address itself) and a count of recent requests, for up to 48 hours, and then delete them. Messages our spam checks block are never stored.
Please do not include other people's personal details, or sensitive details such as health information, in your message.
4. Why we use it
We use your details only to answer your request:
- to contact you about the demo, quote, integration review or question you asked about;
- to prepare that conversation, for example a demo with services like yours;
- to keep a record of the request and our replies.
We do not sell your details, share them for advertising, or add you to a newsletter. If we ever offer product updates, we will ask for that separately, with its own unticked box.
5. Your consent and how to withdraw it
We use your details on the basis of the consent you give by ticking the box on the form. The form is meant for adults asking on behalf of an organisation; please do not use it for a child.
You can withdraw your consent at any time, as easily as you gave it: send one e-mail to the grievance officer (section 11), or reply to any e-mail from us, from the address you used on the form. Quoting your reference code helps us find your request. We then stop contacting you, delete your details as described in section 8, and confirm by e-mail. Withdrawing does not affect what we did with your consent before it.
6. Where your details are processed and stored
- The form: your request is received by the website's form service on Microsoft Azure (Azure Static Web Apps), which runs in the region [PH: Azure region of the form function: Central India if offered, otherwise East Asia].
- Storage: your request is stored in Microsoft Azure Table Storage in the Central India region (India).
- Notification: a plain-text e-mail with your details is sent to our mailbox sales@manageq.in, hosted by [PH: mail host of sales@manageq.in], which stores e-mail in [PH: country or region where the mail host stores e-mail]. If you write to us directly, your e-mail is kept in the same mailbox.
7. Who processes them for us
- Microsoft (Microsoft Azure), which hosts this website, the form and the storage.
- [PH: mail host of sales@manageq.in], which hosts our mailbox.
Both process your details only on our instructions. Within our team, only the people who answer requests can read them. We do not use analytics, advertising or spam-check services from other companies; if that ever changes, we will update this notice first. We disclose personal data to authorities only when the law requires it.
8. How long we keep them
| What | How long |
|---|---|
| Your request, and the notification e-mails about it in our mailbox | 24 months after our last contact with you, then deleted from both |
| The code made from your network address, and the request count | Up to 48 hours |
| Messages blocked as spam | Never stored |
We delete your details sooner when you withdraw your consent or ask us to erase them, unless the law requires us to keep them.
9. How we protect them
- The website and the form work over HTTPS only.
- Access to the stored requests is limited to our team, with access keys that can be withdrawn at once and are replaced at least once a year.
- The notification e-mail is plain text; nothing you type is turned into a web page or a link.
- The form's error messages never repeat what you typed.
If a breach of your personal data ever happens, we will inform you and the Data Protection Board of India as the DPDP Act and its Rules require.
10. Your rights
Under the DPDP Act you can ask us:
- for a summary of the personal data we hold about you, what we do with it, and who we have shared it with;
- to correct, complete or update it;
- to erase it;
- to answer a grievance about how we handled it;
- to let a person you nominate use these rights for you if you die or become unable to.
Write to the grievance officer (section 11) from the e-mail address you used on the form, or tell us how we can confirm that the request is yours. We answer within the time the DPDP Rules set.
11. Questions and grievances
Grievance officer: [PH: grievance officer name], [PH: grievance e-mail], [PH: legal company name], [PH: registered address].
If you are not satisfied with our answer to your grievance, you can complain to the Data Protection Board of India.
12. Cookies and tracking
This website sets no cookies. It uses no analytics, advertising or social media tools, and loads no fonts or scripts from other companies. The contact form's small script runs only in your browser to check your answers and send them; it stores nothing on your device.
13. Languages of this notice
This notice is available in English and in Hindi (हिन्दी). If you would like it in another language listed in the Eighth Schedule to the Constitution of India, write to the grievance officer.
14. Changes to this notice
When we change this notice, we publish the new version here with a new date. Each request records the version you agreed to. If a change affects how we use details you have already sent, we will tell you by e-mail before it applies.
