Visa & passport centres

Queue management system for visa and passport centres

Applicants check in for their slot, see what to bring, and move from submission to biometrics on one token, while per-mobile limits stop token hoarding.

Starts from the ready-made Visa & consular service set. Every name, rule and screen stays yours to change.

What gets in the way

What slows visa centres down

Fixed appointment slots, long document checks, and people taking more tokens than they need.

  • Slots mixed with walk-ins

Applicants with appointments arrive alongside walk-ins, and nobody can see who should go first.

  • Long document checks

A missing paper sends an applicant back to the end of the line and slows every counter.

  • Token hoarding

One person takes many tokens, or a script floods the kiosk, and genuine applicants wait longer.

How manageQ fits

Built around how visa centres work

Appointment check-in by slot

Bookings come from your appointment system. On time, applicants are placed by their slot; late, they queue as walk-ins.

Passport details on the token

A visa applicant form with passport number and nationality; the kiosk can ask how many applicants share the visit.

A “Please bring” checklist

Per service, shown on the kiosk, on the phone and on the booking page, and sent in the called message.

Biometrics as its own step

Biometrics is its own queue. Staff transfer the token after submission, and it keeps its number.

Limits against hoarding

Open tokens per mobile number (1–10), daily caps per kiosk or eQueue link, and kiosk protection that pauses scripted bursts.

Every view on record

Applicant details are encrypted, every view is written to the audit log, and details are deleted after service.

The visit

An applicant’s visit, step by step

From the booking in your system to passport collection, with the document checklist in the applicant’s hand before the counter calls.

  1. Kiosk or phone · “I have an appointment”

Step 1: Check in for the slot

The booking reference plus the check your system asks for, such as the document number. On time, the token is placed by its slot.

  2. Kiosk ticket and phone

Step 2: See what to bring

The token comes with the service’s instructions and its “Please bring” list: passport, photographs, fee receipt.

  3. Counter 4

    Step 3: Application submission

Called on the display and by voice; the token carries the passport fields and the applicant count.

  4. Biometrics queue

    Step 4: Biometrics

Transferred with the same token number to fingerprints and photo.

  5. Passport Collection

    Step 5: Passport collection

A separate service with its own form: the receipt number and who collects, the applicant or an authorised person.

Status updates go back to your appointment system (checked in, served, no-show and more), signed and retried automatically.

Questions

Questions we hear from visa centres

Do applicants book their appointments in manageQ?

No. Bookings stay in your appointment system, and manageQ brings them in by API, push or file import. Applicants check in on the day with their booking reference and the check the source asks for, such as the document number. There is no look-up by mobile number.

How do you stop one person taking many tokens?

Set the open tokens per mobile number (1 to 10) on a kiosk or eQueue link, and a daily maximum per device. Kiosk protection pauses a kiosk that sends far more requests than a person could, and an admin reviews it before it is re-enabled.

Can biometrics be a separate step?

Yes. Biometrics is its own queue in the ready-made Visa & consular set. Staff transfer the token after submission, and it keeps its number.

Can the screens show Arabic or Russian?

Yes. Customer screens and voice announcements are available in English, Hindi, Telugu, Tamil, Arabic (right to left) and Russian, offered per organisation. A display can show its labels in two languages, for example English and Arabic.
