Connect manageQ to the systems you already run

Appointment systems, messaging providers, a documented REST API and the devices on your site. Bookings stay in your system; visitors check in with manageQ.

  1. Your appointment systemBookings stay there
  2. Bookings arrive by one of three feeds:
    • API pull
    • Push
    • CSV or Excel
  3. manageQ bookingsMatched, checked, details encrypted
  4. Check-in on arrivalKiosk, phone QR or counter: a normal token
  5. Status updates backSigned, retried, no personal data
How appointment bookings reach manageQ and how their status goes back to your system.
Appointment systems

Bookings in, status back

Three ways to bring bookings in from your own system, and one way to tell it what happened. All of them feed the same check-in, queue order and reports.

Scheduled pull from your API

Your system’s https API, GET or POST, with a key in a header, a bearer token or a user name and password. Today plus 1–14 days, every 5–1440 min, or on Sync now.

Test connection shows the answer’s fields (personal values masked) and what a sync would do, before anything is saved.

Push from your system

Your system sends bookings as they are made, changed or cancelled: up to 1,000 per call, with a key per source that is shown once and can be revoked.

The answer gives every booking’s result: created, updated, cancelled, unchanged or refused with the reason.

CSV or Excel import

CSV (comma, semicolon or tab) or Excel .xlsx files, up to 5 MB / 5,000 rows. Columns are suggested from the headers, and unknown values are mapped once.

A preview shows what every row would do before anything is saved; the mapping is kept for the next file.

Status updates back

Checked in, served, no-show, cancelled in manageQ, expired and token transferred: sent to your system as JSON, with no names or contact details.

Each message is signed (HMAC-SHA256 of the time and the body) and retried 5 times, from 30 seconds to 2 hours.

One pipeline for every feed

  • Manual entry for phone bookings, in the same list as every other source
  • Bookings matched by source and booking id, so the same file twice changes nothing
  • Every run in the history, with its counts and the refused rows (values masked)
  • Outbound calls go to public https addresses only: no private networks and no redirects
  • Booking details encrypted and deleted after the appointment day
  • Nothing is issued before check-in: the token is created when the visitor arrives
Messaging providers

SMS, WhatsApp and e-mail through a provider

Messages go out on four events (token issued, turn near, called, served) through a messaging provider account. Visitors choose updates with a consent box, and message texts carry no personal data.

SMS

  • Twilio
  • MSG91, with DLT-registered templates for India
  • Delivery receipts; STOP and START replies with Twilio

WhatsApp

  • Meta WhatsApp Cloud API with approved templates
  • Template values in the order your template needs
  • Delivered and read receipts; STOP and START replies

E-mail

  • SMTP through your mail host
  • Token updates, plus low-rating alerts when feedback is on
  • One plain recipient address per message

Providers are one setting for the whole installation: a hosted set-up uses the platform’s provider accounts, and on your own servers you use your own. Credentials are stored encrypted and never shown again. Provider names are shown for information only.

Webhooks

The webhooks that exist today

Every incoming webhook is verified, and unsigned or forged requests are refused.

DirectionWhat it carriesHow it is checked
IncomingBookings pushed by your appointment systemA key per source, shown once and revocable; rate-limited per address
OutgoingBooking status updates to your appointment systemAn HMAC-SHA256 signature over the time and the body, with your signing secret
IncomingTwilio SMS delivery receipts and repliesThe request signature, checked with your auth token
IncomingMeta WhatsApp statuses and repliesThe app-secret signature, plus the subscription check with your verify token
IncomingMSG91 delivery reportsA secret token in the address
REST API and live screens

A documented REST API and live screens

REST API

The same REST API that manageQ’s own screens use, described with OpenAPI. An application signs in with a manageQ account and works within that account’s permissions and locations.

We go through it with you, endpoint by endpoint, in an integration review.

Live screens

Displays, counter consoles and dashboards update live over WebSockets, and reconnect by themselves after a network drop. Dashboards also refresh every 15 s.

Coming soon

Coming next for integrations

  • Token API keys & webhooks

Scope and timing to be confirmed.

Devices on site

Works with the devices you choose

No special hardware: kiosks, displays and counters run in Chrome or Edge.

  • Kiosks on any touch PC or tablet, with silent receipt printing and a QR code on the ticket
  • Displays on any TV with a small PC, with chime, voice and signage
  • Counters on any PC, laptop or tablet
  • Windows and Linux launchers that start with the device
  • Health on the Kiosk & eQueue dashboard; pause, re-enable or replace a device’s link remotely
  • A feedback kiosk mode for ratings near the exit
